Guide to Configure HawkShield Email Protection to G-Mail

Step 1: Configuration in HawkShield Dashboard

  1. Log in to your HawkShield Dashboard.

  2. From the sidebar, go to Email Protection and click Configure.

Step 2: Set Default Preferences in "Generic Settings"

  1. Navigate to the Generic Settings tab to configure default security preferences for all users. These can be customized by users later, but these defaults ensure baseline protection.

  • Default Extension: Automatically enables the HawkShield Outlook extension for users. Users can disable it manually if needed.

  • Default Expiry: Sets a default expiration time for sent emails. You can specify how many days the message should remain accessible to the recipient.

  • Default Download: Allows recipients to download original attachments.

  • Default Scan Trigger: Scans each outgoing email for sensitive information. Depending on the content, HawkShield will apply the appropriate policy: Warn, Block, or Encrypt.

  • Default Watermark: Automatically adds a watermark to every attachment. Enter the desired watermark text after enabling this option.

P.S.: Watermark Not Supported for the Following File Types:

  • .docx

  • .doc

  • .ppt

  • .pptx

  • .xls

  • .txt

  • .json

  • Default Classification: Set a default classification label for emails and attachments. Choose one of the following:

    • Secret: Confidential information requiring restricted access.

    • Top Secret: Highly sensitive data where disclosure could cause serious harm.

    • Public: Non-sensitive data with limited sharing.

    • Internal: Information meant only for internal use within the organization.

  1. After configuring the settings, click Save in the bottom-right corner.

Step 3: Enable User-Specific Settings

  1. From the sidebar, go to Settings.

  2. Under the Microsoft section, click Manage Settings.

  1. Search for the specific user on the search bar by their name or email id.

  1. Enable the following options as needed:

  • Subscription Enabled: Activates HawkShield Email Protection for users. All outgoing emails are encrypted automatically.

  • Force Active (requires Subscription to be enabled): Let users choose whether to send each email using HawkShield protection.

  • Force Scan (requires Force Active to be enabled): Ensures each email is scanned and encrypted unless the user disables the scan manually.
