This is facilitated by the HawkShield Browser Protection where more important information can only be administered securely and in compliance with the set admin policies. Each time input is copied and pasted to the text area of ChatGPT, Gemini, and any other AI programs, the Protection will filter through the text searching for privacy concerns. In case the input data includes some sensitive data, the protection operates according to the rules established by the admin.
Specific policies provided by HawkShield Browser Protection include access levels as well as control and security settings that can be defined by the organization to enforce certain levels of access and security over the organization’s data and systems.
They allow for per-user, entity, or file type settings where no ordinary user can manage the access using the sensitive data.
In browser protection, admin can set up three policies.
Mark
Warn
Block
Access the Hawkshield Portal and expand the ‘Browser Protection’ then click ‘Policy.’
If you wish to create a new policy, find the ‘Add New Policy’ button at the top right corner of the page.
Mask: Hides some details that are considered sensitive before they are sent in or presented. Under the symbol ‘Entities,’ one is able to choose different types of entities from a drop-down list. To control the types of permission in the ‘Permission’ drop-down menu, click on the ‘Permission’ and then add the permission types.
Warn: Works as a means to notify a user before he or she enters or inputs critical information. The options for selection from Entity drop-drown include different types of entities. You also can make or unmake the ‘Force Request Send’ option from the bottom-left corner.
Block: Entirely bans the copying, pasting, typing, uploading, and cutting of sensitive data on artificial intelligent platforms.
Upon clicking ‘Next’, the user is transported to the ‘User’ tab, here, the user details are to be chosen.
Users can choose Send Admin Alter and they type the email address there. This will be the Admin’s email id.
If the admin has forced the security as ‘Mask,’ it will then give the ‘Mask’ notification in the system when the user attempts to type sensitive information into ChatGPT.
The user can ‘Continue’, to post but the naked details which are usually sensitive to some users, will be concealed to avoid embarrassment.
If the admin has set the policy to ‘Warn’, the protection will automatically give a ‘Warn’ pop-up in the system as a warning whenever the user types in sensitive information on ChatGPT or any other restricted site.
Admin Creates Block Policy: Sometimes there might be new updates for example the admin changes the block policy by specifically targeting contents that may be considered to be of importance such as credit card numbers, emails, and personal names. The policy encompasses such activities as copying or typing, copying, and pasting, or uploading any sensitive data within any application including the current ChatGPT.
Blocked Actions: During the active policy users cannot reuse, type or upload any personal information such as credit card numbers, phone numbers, ages, etc in the ChatGPT text area.
Display of Identified Information: If the user tries to enter some data, that is considered to be sensitive, a Block pop with the detailed table will appear to inform the user of the identified sensitive information.
Request Admin Permission: When the user wants to go ahead with the performed action they will be able to click on ‘Request Admin’. This sends an email to the admin, to approve this to allow the action.
Once one has clicked on ‘Continue’ the blank space that is usually occupied by chatGPT will be visible.
When the user clicks on ‘Request Admin’ he gets this pop-up in front of him, after filling in the details the user needs to click on the ‘Request Access’ at the bottom-right side.
Admin Approval: The admin will get the notification and by clicking on the ‘View Request’ the details of the request will be displayed.
Admin can approve the request, and there will be a timer duration that admin assigns so that he can approve it. For instance, the admin can make it to be active for the next 1 hour (minimum).
Temporary Permission: After that, the user will not be blocked for the next hour and can send sensitive details on ChatGPT during the period.
The admin also can tick on the checkbox for ‘For This Email Only’ and submit.
Now, the user can type, paste, or upload those particular data to the respective site.
To stay informed about browser policy violations or updates:
Ensure your email ID is entered in the Send Admin Alert field during policy creation.
Policy alerts will be sent to the registered admin email address.
Alerts include key details such as Policy Name, Entities Involved, Time and Date of the Violation, etc.
